<p>The City is requesting proposals to provide agenda management software solution providers with expertise, resources, and state of the art technology, and AI, to replace the existing system by providing an integrated, configurable, automated, and user-friendly system that includes the following components:</p><ul><li><p>Agenda Management workflow system with approval process</p></li><li><p>Meeting minute management</p></li><li><p>Live and on-demand video and audio streaming</p></li><li><p>Document management and video storage</p></li></ul><p></p> <p>No substitutions will be considered unless written request for approval has been received by the City by <strong>Monday, September 21, 2026 by 5:00 P.M.</strong> Such requests shall include the name of the material or equipment for proposed substitution including software, drawings, performance and test data, and other information necessary for an evaluation. A statement setting forth changes in other materials, equipment or other portions of the work including changes in the work prompted by the substitution shall be included. The burden of proof of the merit of the proposed substitution is upon the proposer. The City’s decision of approval or disapproval of a proposed substitution shall be final.</p>
